PhD completing doctoral research at another institution

The Biological Sciences Division (BSD) recognizes that some PhD students may need to complete their dissertation research at another institution when their faculty advisor relocates. To accommodate these situations while upholding academic standards, this policy establishes clear requirements for consideration of off-site research. Students must meet all specified conditions to ensure continued progress toward degree completion and maintain the integrity of the PhD program.

Eligibility Requirements
The student must have completed all University of Chicago-specific thesis requirements before departing, including didactic coursework, comprehensive and qualifying examinations, and divisional teaching and ethics requirements.

  • Exception: Senior ethics training (typically completed in Year 4 or 5) may be fulfilled at the new institution or through alternative arrangements approved by the Division.
  • Chicago-Area Exception: Students maintaining Chicago metropolitan residency with continued access to the University of Chicago campus may request Division approval to complete requirements listed above on-site. 

Thesis Committee Obligations
Thesis committee meetings must continue on the usual programmatic schedule as per Divisional and program-specific policy. Additional committee members may be appointed to ensure adequate program faculty representation. With the agreement of the thesis committee, virtual participation on thesis committee meetings is permitted.

Registration Status
Students must maintain proper registration status during the quarter in which they intend to receive their PhD degree. Those completing their thesis within one year may typically register as pro forma, which preserves health benefits and eligibility for certain funding sources. The Dean of Students must grant advance approval for pro forma registration, with official documentation on record
